Document Controller – Offshore Wind Engineering

As our new Document Controller, you will be part of our global Offshore Wind Engineering department. You will take on responsibility for maintaining document management procedures and processes in accordance with Ramboll’s document control / management guidelines and client requirements.

You will act as a single point of contact for all project-related document management tasks and support the project teams with document creation, compilation, and delivery of documents in accordance with customer requirements and timelines.


Your tasks and responsibilities

As part of a multidisciplinary project team, you will take on diverse tasks and responsibilities in international projects of varied complexity and scale, such as:

  • Implement document management procedures, processes, templates, applications, etc in accordance with Ramboll’s document control / management guidelines and client requirements
  • Establish single point of contact for all project-related document management methods, processes, templates, and platforms
  • Set up and maintain master document register, including creation of document attributes, hierarchies, planning and set up of an effective document management system
  • Document creation, compilation, and delivery of documents in accordance with customer requirements and timelines
  • Manage flow of documentation, keep track of incoming documents, and distribute as needed in accordance with the project execution plan
  • Liaise with client document controllers and maintain regular contact in delivery of document workflows
  • Ensure traceable history of all documents throughout all project phases, including handover and operations
  • Systematically report document management progress to project management
  • Ensure compliance of document control guidelines, procedures and platforms to established standards, incl. onboarding of project teams
  • Ensure technical documentation complies with established standards and timeframes
  • Actively participate in the document control network and interface with other departments, share and implement best practices of document management


Your qualifications

  • Bachelor’s Degree in Business Administration, Business Communication, or similar / or a very motivated self-starter with a successfully completed commercial apprenticeship
  • 1-3 years of experience in administrative, document management, or technical support role
  • Experience with large design projects in an international environment, wind or energy industry preferred
  • Knowledge of how to handle documents in a project management application
  • Experience with Document Management System (DMS), incl. establishing naming conventions and governance
  • Experience in industry wide software, e.g., Asite, Aconex, InEight
  • Proficiency in Microsoft Office Applications (Word, PowerPoint, Excel)
  • Experience with MS Project or other project management applications
  • Customer oriented approach as well as self-reliant, reliable, detail-oriented, structured way of working
  • High level of proficiency in written and spoken English
  • Ability to thrive in a fast-paced, team environment
  • Able to effectively prioritize multiple tasks and make independent decisions
  • Ability to communicate effectively with all various level of management within the company and with potential clients, suppliers, subcontractors and partners
  • High integrity and team spirit, proactively engaging with others and offering support when required
