Job Description:Job Title: Executive Assistant
Location:Frankfurt
Role Description:
Executive Assistant to the Regional Compliance and Operational Risk Executive (“Executive”). The Executive is a member of the EMEA Executive Committee, the Global Banking and Markets C&OR Senior Leadership team and other regional and legal entity committees and as the function’s Co-Head of EMEA leads an international team based in the firm’s regional hubs and other offices.
The Executive Assistant works closely with the Executive and performs diverse, advanced, and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers, and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized. Typically manages different and conflicting objectives, projects or activities at once. Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director, or committee member. Communicates with executives and line management to gather/convey relevant information. Some staff at this level are involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy, and judgment.
Duties include general reporting, light project management, and preparing Executive level presentations. Responsibilities also includes calendar management, expense reporting, travel requests, etc. Performs diverse, advanced, and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers, and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized. Typically manages different and conflicting objectives, projects or activities at once. Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member. Advanced administrative and analytical skills.
Core Skills:

- Administration / business support experience

- Ability to interface with Senior Executives and executive assistants
- Ability to maintain and manage confidential information
- Proficiency in calendar management for multiple leaders
- Proficiency with Microsoft Office (PowerPoint, Word, Excel, Outlook)
- Experience as a Senior Administrative Assistant or comparable level of experience and demonstrated ability in either current or prior positions to interact with senior level executives.
- Knowledge of a variety of software programs (i.e. MS Outlook, Word, Excel, PowerPoint, Visio, WebEx and Webcast)
- Experience with Ariba, eRequest, and Concur systems, Recognition Tool, Workday
- Proficiency in internal technology ordering systems
- Knowledge of ACR system
- Recent work experience with detailed accomplishment examples and proven ability to take the initiative
- Strong communication skills, both verbal and written
- Excellent attention to detail and organizational skills
- Pro-active attitude with ability to stay focused and maximize time efficiently.
- Manage multiple and conflicting objectives, projects, or activities at once with minimal direction
- Strong relationship building skills to communicate with internal team and executive level management to gather/convey relevant information
- Must use considerable tact, diplomacy, and judgment with confidential information
