Main duties & responsibilities:

Coordinate Financial Planning process in close collaboration with the network of FP&A business partners across Europe area and provide valuable insights on business performance indicators:

  • Coordinate / review and consolidate budgets / forecasts for DE/AT region;
  • Support European Finance Director / Head of F&A NE through corporate guidelines and processes and facilitate their roll-out across the area;
  • Own reporting of financial results and monitoring of KPIs, prepare monthly variance analysis in close collaboration with head of F&A NE;
  • Prepare monthly / quarterly presentations for local GM, and continue a good and comprehensive financial communication and advise;
  • Co-drive continuous improvement of reporting methods / tools in coordination with FP&A HQ team.

Supervise statutory accounting, tax and legal records of KL DE / AT entities in close collaboration with the Moscow SSC, and the local F&A Managers:

  • Liaising with appropriate Accounting & Reporting Staff to ensure maintenance and accurate statutory accounting and tax records;
  • Ensure all statutory accounting and tax filings are accurate and submitted by deadlines;
  • Ensure the local teams have a structure in place to ensuite that local accounting / tax knowledge is up to date to allow for proper accounting in line with local legislation;
  • Supervise internal/external audit and liaising with local teams (& auditors if required) regarding annual statutory accounts;
  • Ensure employees apply global / functional policies and procedures and all necessary documents are available for the administration of the legal, accounting and tax requirements of the local territory;
  • Approve contracts when required;
  • Approve payment runs;
  • ICO & WHT: make sure a regular reconciliation is in place;
  • Make sure to have a regular and deep follow-up on AR Aging Report together local team.

Payroll activities:

  • Facilitate the payroll process coordination;
  • Approve local bank payroll payments.

Facilities Management and General Office Support:

  • Manage local office manager in all activities (facilities management, general office maintenance, general office requests, car fleet);
  • Management of office contractors and regular contract reviews, obtaining quotations and negotiating contracts for office services and raising purchase requests;
  • Coordinating with on-site and KL security;
  • Supervise the occupational safety and accidents prevention activities;
  • Monitor compliance to travel policy;
  • Oversee travel activities managed by the local office managers.

Others:

  • Support direct reports in finance and office administration activities and projects as required;
  • Prepare monthly report with remaining G&A budget in DE, and participate in call with FD EU to provide explanations on key variances;
  • Office & Insurance: lead DE office projects and receive insurance coverages where required.

Requirements:

Education:

  • Qualified Chartered Accountant or equivalent experience;
  • MBA or equivalent preferred.

Experience:

  • Established practical finance and general office experience with emphasis on exposure to Tax aspects and responsibility for smooth running of an office .

Professional Knowledge and Skills:

  • Good knowledge of local GAAP, tax, Excel, previous experience of using accounting systems, expenses systems and procure to pay systems;
  • Knowledge of current systems - Microsoft Dynamics Axapta, Ariba, Concur, Egencia, Docusign preferred.

Languages and Skills:

  • Fluent in English
