Your tasks:
  • Provide a range of administrative support including supporting the team with administrative tasks
  • Organize and maintain calendars and making appointments
  • Arrange travel approvals and bookings as well as expense handling
  • Support the onboarding of new colleagues, floor walk and introductions etc.
  • Office material provisioning, orders stationaries and other supplies on behalf of the team, deals with laptop, workstation requirements etc.
  • Support the team with all administrative tasks
Meetings & Facilitation
  • Participate in relevant team relevant meetings and provide facilitation support to organize meetings, refreshments, logistic support, and post follow up of meetings such as assembling presentation deck, minutes of meeting where required
  • Schedule meetings, organize and prepare meetings, agenda, workshops and conferences, order catering, take minutes
  • Produce spreadsheets, create presentations, reports, and other relevant documents
Budget & Expenses
  • Support in invoice checking, creation of internal and external invoices, processing of incoming invoices and following up on payments
  • Redirect queries on expenses and requirements from P&O controlling to GPDx Budget Coordinator
  • Consolidate annual accruals from team and following up on invoices
  • Follow-up on tender, timely procurement and purchases and following through on payable settlements once the services/goods are received

Your profile:
  • University degree or adequate vocational education
  • Job experience in People & Organization (P&O) is a plus
  • Several years of professional experience as an assistance, ideally in an international logistics services environment
  • Experience in a “digitalized” work environment, good grasp of digital technologies
  • Sound knowledge of the most common MS Office products (Word, PowerPoint, Excel, Outlook)
  • A pragmatic, determined and logical approach
  • Fluent in business English and German, both written and verbal
  • Strong communication and analytical skills
  • Excellent organizational skills, good attention to detail and the ability to work with minimum supervision
  • Discretion in dealing with personal and sensitive issues, both written and oral
  • Meet deadlines and take personal responsibility for own work output
  • Organization acumen, open for challenges, reliable, flexible, forward looking
  • Interest to work in a global team
