REPORTS TO:
Director of Practice Management

WORK HOURS FOR POSITION:
The contracted working week, working Monday to Friday will consist of 37.5 hours, 9:00 and 6:00pm with one hour for lunch. Due to the nature of the work associated with this position, it may require additional time beyond the standard 37.5-hour work week. Evening and weekend hours required at times. This is a non-exempt position i.e., entitled to payment of overtime, requiring prior approval.

GENERAL SUMMARY:
Under general supervision and according to established policies and procedures, performs a variety of duties to assist lawyers to whom assigned. Maintains positive contact with clients and observes confidentiality of client matters. Organizes and maintains case files, pleadings, other documents and attorney notebooks; summarizes articles, reports, witness statements and depositions; helps onboarding new clients, review incoming briefs for urgent tasks, schedules meetings and travel arrangements, prepares invoices, operates and maintains databases; assists with filings; assists at trials and administrative hearings; assembles and proofreads written submissions and organizing written evidence, and other tasks required to support the team. Keeps accurate time records and expected to record a minimum of 1,650 billable hours per year.

ESSENTIAL JOB FUNCTIONS:
“Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable support from the paralegal or lawyer on the team.

Candidate must be able to:
  • Work independently.
  • Work efficiently in an environment that is heavily computer based with all files being maintained both electronically and in hard copy.
  • Follow and execute established client and team guidelines for case management.
  • Follows the ethical requirements as set forth by the Rules of professional Conduct of the jurisdiction in which employed.
Candidates will have the following responsibilities:
  • Assist with preparation of international filings to include initial drafts.
  • Extensive footnote review, cite-checking and organization of all supporting documents required for large briefs.
  • Organise and maintain case documents, files, team databases and electronic data.
  • Prepare document chronologies and summaries.
  • Manage and organise large quantities of translations.
  • Work closely with and coordinate vendors providing translation, photocopying, binding and electronic data services.
  • Prepare case document working notebooks.
  • Locate and photocopy information or documents requested by team.
  • Establish, organise and maintain pleading books, attorney trial notebooks, expert witness notebooks,and substantive indexes.
  • Locate and confer with expert witnesses and resource people; arrange for expert witness inspectionsand obtain approval from counsel of record and specified parties.
  • Conduct research and locate cases, depositions, opinions, reports and information related to thematter.
  • Cite checks briefs, legal memoranda, etc. in conformance with court policies and rules.
  • Review and outline document productions, depositions, and indexes as well as provide summaries ofdocuments.
  • Organise and maintain document management systems in sophisticated and complex matters.
  • Assist in preparation of the case for trial by drafting and preparing Pre-trial Orders, Form Instructionsto the Jury, Requested Voir Dire of Jurors, Conduct Jury Investigation, Prepare Witness and ExhibitLists, Motions in Limine and Subpoena and contacts witnesses.
  • Assist in the trial of the case including witness schedules and logistics, organization and set up of trialfacility, exhibit control and tracking.
  • Perform assigned legal research tasks using all available resources including libraries and computerdata systems.
  • Operate standard office equipment such as photocopiers, fax machines, personal computers, typewriters, dictaphones, telephones, television, video recorders and cameras.
SPECIFIC SKILLS REQUIRED:
  • You hold a (business) law degree or a comparable degree from an accredited university or university of applied sciences (Universität/Fachhochschule) and have a keen interest in the law.
  • Your strong knowledge of legal terminology and procedures, combined with your proficiency in legalresearch tools and office software, sets you apart.
  • With excellent written and verbal communication skills in English and German you are perfectly atease in an international environment.
  • You have exceptional organizational and time management abilities and stay calm even when thedeadline is tight.
