Wellcome UK is supporting the recruitment of our wholly owned subsidiary - Wellcome gGmbH.
We are looking for an Operations Manager to be based in our Berlin office to oversee financial, tax, employee benefits and payroll processes of the German legal entity (gGmbH) incl. management of external providers of these services, set up and manage corporate governance processes of the entity (working with the executive board and external providers) and manage grant relationship between Wellcome UK and Wellcome Trust Germany.
This role is part of the European Government Relations team, which is largely based in Berlin in the new entity. It belongs to Wellcome’s wider Government Relations and Strategic Partnership division, which is responsible for Wellcome’s diplomatic efforts, advocating for change in our world, and building the knowledge and partnerships that help us reach our goals. Our key stakeholders include Governments and public bodies, multilateral organisations, civil society, the private sector and philanthropies.
In this role you will
  • Be accountable for driving the operating backbone for the German legal entity (gGmbH), overseeing, supervising and managing the relationship with external outsourced service providers, specifically:
    • Payroll and employee benefits: Oversee and ensure quality of external service provision, assist staff with resolving any queries in conjunction with relevant provider, and implement distinct Office related projects including e.g., benefits market benchmarking
    • HR policies and processes: Set up local employee lifecycle policies, processes to receive and apply employment law advice, and work with external providers to manager joiners/leavers/role changes
    • Finance and tax: Work with external providers on bookkeeping and auditing, review financial transactions and financial statements, prepare financial reports, planning and forecasts with external providers, ensure compliance with charitable accounting regulations
    • Legal and contracts: Manage lobby register entry, monitor Wellcome UK policies that could affect German entity, monitor and manage contractual relationships that relate to operations of Wellcome Trust Germany
    • IT: Manage relationship with external Digital & Technology service provider, help procure software/ hardware as needed
    • Overseeing the operations of Wellcome gGmbH office space
  • Act as first point of contact for Germany-based staff for any queries or issues related to the externally sourced processes; Develop, continually improve and streamline operational processes in line with best practice.
  • Continually forecast and adapt plans, resources and priorities to address business challenges and ensure the smooth running and optimization of the organisation’s operations. Establish gGmbH governance process according to German regulatory requirements with the board of directors, including regular reviews of gGmbH financial and other processes
  • Prepare regular updates and documents for formal board of directors’ sessions
  • Manage grant relationship with Wellcome UK and well as manage the team’s operational budget including the tracking of expenditure and review of monthly/quarterly reports;
  • Be the owner of the risk and control environment for your area and be accountable for the quality of your outputs
  • Contribute to the creation and development of a diverse and inclusive culture across the wider Wellcome environment (Wellcome Trust Germany and UK), collaborating across departments
To be successful in this role you will have
  • Technical knowledge and understanding of Payroll, HR, Legal, Finance, Tax & IT operations and processes.
  • Experience managing business processes incl. bookkeeping or financial accounts
  • Experience of successfully managing contracts relating to third party suppliers as well as experience of supervising others (including external providers)
  • Office Management administration experience and
  • Familiarity with human resources processes/ topics (benefits, payroll, etc.)
  • Advanced IT Skills – excellent working knowledge of Microsoft Office software including SharePoint.
