Follows established procedures and guidelines to provide timely and effective administrative support to an office, business unit, department, or other organization group. Performs activities under direct supervision.
Answers telephones, screens calls and takes messages so callers/visitors are dealt with promptly, courteously and accurately.
Transcribes, type, format and proof reads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
Coordinates internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees and ensuring that various meeting amenities are available.
Manages the appointments and schedules of staff in the unit.
Uses office equipment such as photocopiers, faxes and printers.
Performs other administrative tasks according to established guidelines and procedures so these activities are completed accurately and on time. Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.

Education, Licenses, Certifications
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.Experience
Minimal or no work experience required.Provides administrative support to the Hospitality Specialist, Plant Manager and in the General Administration area.
This includes among others the following activities:
1. support in general administrative activities, correspondence, tenders, filing, scheduling, etc.; Communication and correspondence will be in German and English language
2. managing and supervising the fleet as directed (both company cars leased to individual employees and pool vehicles), including
2.1 Assisting with the ordering of lease vehicles and long term rental vehicles.
2.2 Follow up on leasing contracts
2.3 Monitoring monitoring service
2.4 Administration and scheduling of pool cars
2.5 Handling of confidential data/information
2.6 etc.
3. ordering and management of office supplies
4. controlling and monitoring of invoices, incl. recording in Ariba.
5. organization and handling of Jobrad processes with employees and specialist departments
6. organization of language courses
7. Assisting to the supervision for social facilities, e.g. company restaurant
8. Administration of access cards and keys
9. assistance in the care and hospitality of visitors
10. support in the administration of the meeting rooms.
11. assist in the administration of the BCP. Participate in the annual exercise and update the necessary data.
12. manning the reception desk in case of emergencies incl. all necessary work, e.g. incoming and outgoing mail
Completed commercial training, or comparable qualification.
Language skills: German (business fluent), English (good basic knowledge)
Computer skills: common MS Office applications
