We are looking for a Office Services Working Student (m/f/x) (up to 20hrs/week) who will be the first face to BCGDV Berlin’s clients, colleagues, guests, and contractors. You will join our wonderful Office Services team. In the previous months, this team had an exceptionally positive impact keeping our clients and colleagues safe as they are using the office space.

In this role you will:

• You ensure a professional reception and support for our clients, guests, and colleagues.
• You operate the switchboard. This entails forwarding relevant info to the respective point of contact, but also politely declining unwanted sales calls and other inquiries.
• You are responsible for maintenance of meeting rooms (e.g. ensuring the right equipment is allocated).
• You are responsible for the distribution of mail and deliveries, as well as for the management of courier and transportation services.
• Although we reduced events to the bare minimum, we would like you to help us organise and execute (virtual) events.
• You are responsible for maintenance and infrastructure needs of our office space and act as point of contact for various contractors

What we’re looking for:

• A sharp individual who is comfortable multi-tasking and communicating in a professional and welcoming manner.
• You display a friendly attitude and competent demeanour towards clients, colleagues, guests and contractors.
• You know how to improvise and pivot if things don’t go as planned. Sometimes they just won’t, and you need a Plan B. For such situations and beyond, you come up with creative solutions to short- and long term improvement for the Office Services team.
• You are detail-oriented without forgetting about the bigger picture.
• You have fluent English language skills.
• German language skills are a plus to facilitate communication with contractors and other service providers supporting us with infrastructure.
