We are a fast-growing hospitality group with existing hotels and workspaces in some of Europe’s most exciting locations and many more projects under construction. Our stylish Corporate Office in Munich bundles all construction, design, administrative and marketing functions as well as many front office activities outsourced from the hotel. The central operations department is responsible for all operational processes in the existing Ruby Hotels, as well as the preparation of all new openings.

Trust us, you won’t get bored, as you:
- are the contact person responsible for the preparation, organisation, implementation and follow-up of all events (private individuals, companies and corporate customers) at Ruby Hotels and Workspaces
- process event and reservation requests, make arrangements with guests regarding Ruby’s event procedures and restrictions and handle the preparation of offers and contracts
- create function sheets, lead weekly function sheet meetings with the hotels, ensure a smooth handover and processing of the events to the hotel teams and provide operational support if required
- hold discussions with guests and proactively obtain feedback after the events
- take care of invoicing, coordinating incoming payments and following up on outstanding payments afterwards
- work out processes and procedures to improve overall event handling (sales channels, partnerships, event marketing material)
- are responsible for sourcing, evaluating and recommending external partners (e.g. event agencies, caterers, equipment hire) as well as pre-contractual negotiations together with our Group Director Food & Beverage
We’ve been waiting for you, since you have/are:
- completed training or studies in event management, the hotel industry, tourism or similar
- several years of professional experience in F&B or event management in the hotel/catering industry as well as management experience
- very good business and MS Office skills, as well as good knowledge of PMS/POS and CRM systems
- speaking German and English fluently
- an empathetic approach to guests and colleagues
- counting reliability, a professional demeanour and a systematic approach among your strengths
- finding creative and clever solutions independently
