Phoenix des Lumières, Dortmund, GERMANYCulturespaces, an organisation that employs 400 employees and which specialises in the management of historical monuments and museums, and the creation and management of digital art centres, is seeking a candidate for the following position at its new venue, Phoenix des Lumières: Commercial Assistant(m/w/d).
Phoenix des Lumières will open its doors in October 2022 in Dortmund, in the Phoenix Halle, a former gas plant part of the famous Phoenix West blast furnace. Located in the core of Phoenix West area, five minutes away from the Phoenix See and 15 minutes away from Dortmund city centre, Phoenix des Lumières will use unique cutting-edge technology to create immersive exhibitions devoted to some of the most famous artists in the history of art. The exhibitions will be designed to complement the unique architecture of the venue, with its 13-metre-high walls and 3000-m²-surface area.
Responsabilities
Working under the supervision of the Director of Phoenix des Lumières, your main responsibility will be to develop group visits.
You perform a range of duties including selling group visits, processing and coordinating all group requests, handling all group customer inquiries, generating and tracking leads, producing status reports, and generating sales data.
The core focus of this position is the development of sustained group attendance in order to achieve the annual revenue and visitation goals. Other duties include working with the local industry and concierge organization to build the organization’s presence in the tourism industry, with the aim of increasing attendance. The position also includes to coordinate special events as required.
In this capacity, you will perform the following tasks:
- Handle all types of groups enquiries (including schools), starting from the initial enquiry (telephone, emails, booking platform) to the end of their booking
- Coordinate and process all administrative phases of group contracts; book orders, secure deposits, modification or cancellation, invoicing and payments for group ticket sales, group tours, pre-sales tickets and VIP tour reservations
- Maintain database and track Group Sales leads, inquiries, lost business, sales revenue
- Make best use of the customer relationship management system to its best advantage in order to achieve attendance goals and deepen engagement with constituents (creation of several newsletters per year)
- Create reliable and actionable reports on group sales, forecast, and new prospects
- Build and maintain relationships with travel trade and tourism partners
- Manage various local sales and marketing partnerships
- Work with the concierge organization to build the Phoenix’s presence in the hospitality industry
- Attend travel industry tradeshows and hospitality networking events to promote Fabrique des Lumières and develop strong positioning of group visit offerings
- Participate in related sales activities, FAM events, programs, sales missions and tradeshows to achieve the sales targets
- Work cross-functionnally to coordinate occasional special events (open days for teachers, B2B breakfast…) as needed
- Identify and pursue strategic opportunities to attract group visitors.
The successful candidate will at least hold a Bachelor’s Degree in a related discipline : sales, tourism, marketing, communications, or museum studies and will have at least three years’ experience in a similar post. Your personal qualities are key in this post: you have a taste for challenge, a good sense of teamwork, and you are autonomous, rigorous, and are committed to customer service. Good people and editorial skills, fluency in English, and proficiency in Microsoft Office and booking system are indispensable assets for the successful completion of your tasks in this post. The ideal candidate is fluent in German and English.
