The appliedAI Initiative is Germany’s largest initiative for fostering the application of AI technology in the European industrial landscape. Whether conference, trade fair, customer event, working groups, training, webinar or podcast – you are world class in organizing unique events for customers. As an excellent and compelling communicator and customer-focused event manager, you will collaborate with our internal teams and external stakeholders such as customers, partners, trade bodies, speakers, and service providers to create unforgettable customer experiences. From developing a holistic event and activity strategy, to the ideation to the execution on-site to identifying relevant follow-ups, in this position, you will have the opportunity to think out of the box, leverage your experience as well as apply creative ideas for innovative and visionary engagement formats.
Your mission

  • Development of a best in class event and event communication strategy
  • Content creation, conception, organization, implementation and follow-up of different event formats and scale (live, hybrid & digital)
  • Interacting with appliedAI Sales and Partner Success to gain working knowledge of their customers’ and partners’ needs in order to create event-based programs.
  • Coordination with venues, vendors and support teams to help execute events - from planning and facilitation to load in and load out
  • Collaborating with the marketing team on event branding, digital assets, promotion and increased audience acquisition/ participation
  • Management of event webpage content, monitoring RSVPs and adjusting headcount, floorplan, etc. accordingly
  • On-site and online support for participants, speakers and trainers (traveling activity 10%)
  • Event moderation is an option, but is not a must
  • Measurement of event success based on metrics and customer feedback to continuously optimize our engagement formats
  • Planning and maintaining event budgets and working with accounting to ensure vendor invoices are paid
  • Implementation of related event processes and technology solutions

Your profile

  • Successfully completed studies, preferably in the field of event management, marketing, communication or via a comparable professional training
  • 4+ years of professional experience in event management of in-person and virtual events (up to 300 participants) on the corporate or agency side, or in the hospitality industry
  • You have strong communication skills and speak both German and English confidently
  • You have great organizational and project management skills and pay attention to details to ensure that events operate seamlessly
  • You like to work collaboratively in a team, and independently and determinedly on the implementation of events with a get things done mentality
  • You are passionate about improving the status quo, and challenging existing formats and internal processes
  • You are able to work in a fast-paced environment with competing demands, and you are able to think on one’s feet, pivoting as necessary to deal with the changes inherent in running events
  • You are able to confidently brief and build genuine relationships with senior leaders in technology and industry.
  • You, as an individual, feel accountable for the quality and timeliness of an outcome driving value to all stakeholders. You are proactive, when you encounter a challenge, you take action
  • Ideally, you have professional experience in the field of information technology, specifically in the field of artificial intelligence
