We are looking for an experienced, highly organized, and detail-oriented Executive Assistant to provide admin support to the CEO leading multiple fast-growing, successful brands.

You will be working closely with the head of all departments and will be in-charge of smooth operations of the CEO countless responsibilities. High speed and high operational skills are a must.

Coordination between companies and the ability to handle multiple urgent tasks on a daily basis is key. It’s an intensive yet highly rewarding environment.

Ms. Yannay has co-founded two 7-figure companies over the last two years - TOMO, a luxury drinkware brand, and House of Legends NFT in collaboration with a Forbes 30 under 30 artist.


Main Responsibilities:

  • Serve as the primary point of contact for internal and external communications with the CEO, including highly confidential and critical matters.
  • Manage the CEO’s calendar- schedule meetings and prioritize inquiries to ensure smooth day-to-day engagements.
  • Complete administrative tasks, including preparing reports, presentations, and other materials as needed.
  • Draft and edit correspondence that is often sensitive and confidential
  • Collect and prepare information for meetings with team members and other parties.
  • Keep the CEO well informed of upcoming commitments and responsibilities.
  • Research, analyze, and compile data to assist in decision-making.
  • Coordinate with other departments to ensure tasks are completed on time.
  • Create and maintain accurate records of all communication and activities.
  • Respond to emails and phone calls on behalf of the CEO.
  • Handle confidential information in a discreet and professional manner.
  • Maintain open communication with all departments.
  • Prepare and manage expense reports.
  • Monitor and track the progress of the CEO’s goals, projects, tasks, and deadlines across 2 companies
  • Assist with special projects and administrative duties as assigned.

Desired Skills and Experience:

  • 5 Years of experience as an Executive Assistant or significant executive support experience in a similar role for a tech company
  • Strong written and verbal communication skills
  • Exceptional organizational skills and multitasking skills
  • Highly-organized, Impeccable attention to detail
  • Demonstrated ability to work independently and as part of a team
  • Proficient in remote work tools (Google Suite, Slack, Trello, and Social Media web platforms)
  • A proactive approach to problem-solving and decision-making
  • Ability to handle several tasks that require quick response and turnaround.
  • Proven ability to handle confidential information with a high level of integrity and discretion.
  • Ability to make appropriately informed decisions about priorities and available time.
  • Flexible and willing to work within a cross-functional team seamlessly.
  • Ability to meet deadlines and thrive in a fast-paced start-up environment
